Session 2 · Designing Custom AI Helpers with Gems & NotebookLM

Create targeted helpers with Gems and multi-document assistants with NotebookLM to support recurring tasks and knowledge work.

Create a personal or team-specific AI helper that can answer questions, structure content, draft summaries, or assist with recurring tasks like reports and briefings.

  • Create a NotebookLM workspace with multiple related documents.

Building on the skills from Session 1, this session guides you into creating your own AI helpers for recurring tasks. You begin by designing Gems—small, targeted assistants within Google Workspace that follow precise instructions for rewriting, summarizing, extracting, or organizing information. Then you move into NotebookLM, where you combine multiple documents to create a more capable assistant that can synthesize content, generate new insights, and support multi-step tasks. You’ll see how Gems work at the task level, while NotebookLM supports knowledge-level work, and how they complement each other in everyday workflows.

Session 3 · Building Automated Workflows in Google Workspace

Connect Gemini, Docs, Sheets, Gmail and chat tools into a workflow that automates meeting summaries and follow-ups.

Use case (capstone)

Build a workflow that takes meeting notes, generates summaries, extracts action items, updates a tracker, and shares outputs automatically via email and Chat/Slack.

The final session connects everything you’ve learned by showing how to link helpers, templates, and tools into a complete automation. Step by step, you create a workflow that transforms raw meeting notes into structured summaries, action items, and automated communications through Gmail or Chat/Slack. You’ll use Docs for structured outputs, Sheets for tracking tasks, and optional Apps Script or integrations to route information to the right channels. By the end, you’ll have a working automation and a clear method for building similar workflows for other processes.

Bonus · The AI Compass for AI Champions

Use case

As an AI Champion, you’re responsible for surfacing strong automation candidates within your team or across departments, using structured interviews and analysis instead of intuition alone.

  • Run short interviews to uncover pain points and current workflows.
  • Break processes into steps and identify automation opportunities.
  • Score and prioritize which workflows to explore first.

This bonus session trains AI Champions to become “AI scouts” inside the company—people who know how to spot, evaluate, and articulate opportunities for AI-driven improvement. You’ll learn a visual framework called the AI Compass, built on two axes: Business Impact and AI Readiness. Using interviews, observation, and structured questioning, you’ll map real processes onto this 2×2 grid, prioritize them, and prepare a clear case for automation investment. By the end, you’ll be able to identify impactful, feasible workflows so that AI efforts focus where they matter most.

Do I need any AI experience to join?
No prior AI experience is required. The program starts with everyday use of Gemini in Gmail and Docs and progressively moves toward more advanced helpers and workflows. Each step builds on the previous one.
Do I need to know how to code?
No coding is needed. All exercises use familiar Google Workspace tools like Gmail, Docs, Sheets, Slides, Gems, and NotebookLM. Optional examples may mention Apps Script or integrations, but they are not required to benefit from the program.
Which tools will we use in the sessions?
